Privacy of Personal Health Information

Just Smiles Dental is committed to protecting the privacy and confidentiality of our patients’ personal health information. This notice describes how we collect, use, disclose, and safeguard your personal health information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), British Columbia’s Personal Information Protection Act (PIPA), and the standards of the College of Dental Surgeons of British Columbia.

What Is Personal Health Information

Personal health information includes identifying information about you and your oral and general health — for example, your name and contact details, dental and medical history, clinical records, X-rays and images, treatment plans, and billing and insurance information.

Why We Collect Your Information

  • To provide dental care and treatment;
  • To schedule appointments and send reminders and recall notices;
  • To process payments and dental insurance claims (including the Canadian Dental Care Plan, with your consent);
  • To communicate with other health professionals involved in your care;
  • To meet legal, regulatory, and professional obligations.

Consent

We collect, use, and disclose your personal health information with your consent, which may be express or implied depending on the circumstances. You may withdraw or limit your consent at any time, subject to legal and clinical limitations; we will explain the consequences of doing so.

How We Use and Disclose Your Information

We use your information to provide and coordinate your care. We may disclose it to dental specialists, laboratories, or other health professionals involved in your treatment, and to insurers or government dental programs where you have authorized a claim. We disclose information outside your circle of care only with your consent or as permitted or required by law. We do not sell your personal health information.

Safeguards

We protect your information with physical, technical, and administrative safeguards — including secure premises and records, access controls, and staff trained in confidentiality.

Retention and Destruction

We retain your dental records for the period required by the College of Dental Surgeons of British Columbia and applicable law, and we securely destroy or de-identify records when they are no longer required.

Your Rights: Access and Correction

You have the right to access your dental records and to request corrections to inaccurate or incomplete information. To make a request, please contact our Privacy Officer below. We will respond within the timelines required by law.
